
Terms & Conditions
Effective June 2025
Welcome to CA Permits & Design. By choosing to work with us, you agree to the following terms and conditions which govern all projects, consultations, and services delivered by CA Permits & Design LLC ("we", "us", "our", or “Design Services Provider”).
These terms are subject to change at any time without notice and are always aligned with our most current Master Service Agreement.
1. Project Engagement
All services begin with a signed Estimate outlining the scope, fees, and project details. Each Estimate is governed by our Master Services Agreement and reflects an estimated number or range of hours based on anticipated project needs.
We bill based on actual hours worked at our current hourly rate, unless a flat fee is explicitly stated.
2. Consultation Fees
Initial on-site consultations incur a non-refundable fee based on our service areas. This fee is credited toward your project if you engage our services within 60 days. We reserve our right to wave our fees for virtual consultations up to 30 minutes.
3. Billing & Payments

Work begins only after we receive a 30–70% non-refundable deposit, as outlined in your Estimate.

Invoices are due upon receipt unless otherwise stated.

Overdue payments may incur a 20% annual late fee.

All payments are final and non-refundable.
4. Hourly Services & Meetings
Unless otherwise specified, all services are billed hourly, including project management, revisions, sourcing, and meetings. Meeting time includes all in-person, virtual, or phone sessions related to your project.
Meeting Time Included in Estimate
Per space, the following is included unless stated otherwise:

Discovery Meeting – 1 hour

Design Presentation – 1 hour

Coordination & Collaboration – 2 hours
Additional meeting time is billable at the standard hourly rate.
On-Site Meetings

The first hour of any on-site meeting is billed at 1.5x the hourly rate to account for travel, prep, and scheduling impacts.

Any additional time is billed at the standard hourly rate.
5. Revisions & Scope Changes
Each project includes one major and one minor revision per deliverable. Revisions beyond this, or changes to the original scope, are billed hourly.
Revisions must be requested within 30 days of receiving a deliverable.
6. Project Timelines
Estimates are valid for 12 months. If you pause or stop communication for more than 60 days without notice, we may close the project and invoice for completed work. Re-engagement may require a new Estimate and updated rates.
7. Client Responsibilities
Clients are responsible for:

Timely responses and feedback

Verifying measurements and site conditions

Reviewing deliverables carefully

Procuring products unless specified otherwise

Coordinating with contractors and trades
8. Procurement
We do not guarantee the availability or pricing of recommended products. If procurement is included, we act as administrative facilitators only—not vendors or manufacturers.
We are not responsible for product defects, delays, or refunds.
9. Intellectual Property
All designs, renderings, drawings, and documents are the intellectual property of CA Permits & Design LLC. These materials:

May not be reused, distributed, or altered without permission

Are intended only for the contracted project

May be published by the client only with written approval and proper credit
10. Publicity
Unless you opt out in writing, we reserve the right to photograph completed work and share it on our website, social media, or marketing materials. We credit contractors when applicable.
11. Limitations & Liability
We do our best to deliver excellent, timely service, but we are not responsible for:

Delays caused by vendors, the AHJ, or third parties

Product availability or pricing changes

Construction or installation quality
-
Legal or regulatory compliance issues not handled by licensed professionals
12. Dispute Resolution
If issues arise, we’ll make every effort to resolve them directly with you. If unresolved within 30 days, disputes will be handled through binding arbitration under California law.
13. Independent Relationship
We are an independent contractor. Our role does not extend to managing labor, guaranteeing construction, or ensuring code compliance.
14. Force Majeure
We are not liable for delays caused by events beyond our control, including natural disasters, pandemics, labor disputes, or policy changes.
